
The Institute of Chartered Accountants of India (ICAI) has announced a mandatory E-Diary system for articled training, marking a clear shift from manual or semi-manual records to a fully digital process. The new system will apply to CA students beginning their practical training on or after 1 January 2026.
Below is a simple explainer on why ICAI introduced the E-Diary, how it functions, and what changes it brings for students and principals.
With rapid digitisation across education and professional training, ICAI identified the need for a standardised, transparent, and technology-enabled platform to record articled training. Earlier, documentation of practical exposure varied widely across firms, leading to inconsistency in training outcomes.
The E-Diary (Digital Practical Training Diary) aims to:
Bring uniformity in training documentation
Enable better monitoring of practical exposure
Align training with ICAI’s competency-based framework
Reduce paperwork for students and principals
The initiative has been developed by the Board of Studies (Operations) along with the Members and Student Services Directorate, with a focus on long-term professional readiness.
The E-Diary is mandatory for all CA students commencing articled training on or after 1 January 2026. These students will be required to maintain their training records exclusively through the digital platform.
For such trainees, the E-Diary will serve as the official and authenticated record of attendance, tasks performed, and stipend details. ICAI has not mandated the E-Diary for students who started training before this date, unless further instructions are issued.
The E-Diary functions as a digital logbook, accessible through ICAI’s Self-Service Portal (SSP), where articled trainees regularly record their attendance and work exposure.
Articled trainees must record:
Daily attendance
Nature of tasks performed
Area of work (audit, taxation, consultancy, etc.)
Once stipend is paid, the details are also reflected in the system during the first fortnight.
Work records must be submitted every 14 days
The system automatically flags incomplete entries
Principals can review and suggest corrections
Trainees must revise and resubmit within 7 days
Principals then get another 7 days to approve
If no action is taken, the entry is treated as deemed approved
Past entries can be accessed anytime
Changes can be made before final submission
Trainees can track approval status in real time
No separate login is required
Access is through existing ICAI SSP credentials
Integrated with Form 109 (in case of termination)
Fully aligned with ICAI’s practical training regulations
ICAI has described the E-Diary as a digitally approved and authenticated record of an articled trainee’s practical experience. According to him, the platform enables students to clearly demonstrate their work exposure and skill development, while saving time for both students and principals.
The system is also expected to highlight new and emerging areas of training, making articled training more structured and future-ready.
