RRB Group D 2026 Reservation Rules: What Happens If Certificate Is Not in Prescribed Format?

RRB Group D 2026 Reservation Rules, What Happens If Certificate Is Not in Prescribed Format: The Railway Recruitment Board (RRB) generally does not permit post-Document Verification (DV) corrections to certificate formats, and fresh or updated certificates submitted after the cutoff date are not accepted. Applicants are responsible for verifying their category's central listing, ensuring accurate personal details match the application, and obtaining certificates before the specified cutoff date to avoid rejection.

The RRB Group D 2026 examination attracts many candidates, with a significant number applying under reserved categories. Applicants often face confusion and concern regarding the correct format, validity, and issuing authority for their reservation certificates.

Minor errors in these documents can lead to the loss of reservation benefits or outright rejection during the Document Verification (DV) stage. This article clarifies the official RRB rules and details the consequences if a candidate's certificate does not conform to the prescribed format.

Document Verification and Empanelment

Following performance in the CBT and qualification in PET, candidates will be called for Document Verification (DV) in a ratio equal to the number of notified vacancies (1:1). In case of a tie in marks, older candidates will be placed higher in merit. Appointment is provisional, subject to passing the Railway Administration's Medical Fitness Test and verification of all certificates. Candidates must produce all original certificates along with two sets of self-attested photocopies at the time of DV.

Required Scanned Documents

  • Candidate Signature: JPG/JPEG format, 30-49 KB, Min 140x60 pixels, in running handwriting (not block/capital/disjointed), black ink on white paper, clearly visible within a 35mm x 20mm box. Signatures must match across all recruitment stages.

  • SC/ST Certificate (for Free Train Travel Pass): PDF format, less than 400 KB, legible, latest and valid as on the closing date of online application submission.

Document Verification and Certificate Format

Candidates shortlisted for Document Verification (DV) must produce all their original documents, along with two sets of self-attested photocopies. Scanned copies of Photo & Signature should be uploaded before the DV date. All certificates must be in either English or Hindi, or a self-attested translated version is required. Certificates must strictly adhere to the prescribed formats.

Consequences of Incorrect Certificate Format

If a certificate is not in the prescribed format for RRB Group D 2026, the following outcomes are possible:

  • The reservation claim may be rejected.

  • The candidate might be treated as Unreserved (UR).

  • If the candidate does not clear the UR cut-off, it will lead to disqualification.

  • No relaxation in age, fee, or exam standards will be provided.

  • The RRB generally does not permit format correction after the Document Verification (DV) stage.

Stage-Wise Impact of Invalid Certificates

The impact of an incorrect certificate can manifest at different stages of the recruitment process.

During Application Submission

Candidates initially self-declare their category. Certificates are typically not uploaded at this stage. Mistakes made during self-declaration are not immediately checked.

During Document Verification

Original certificates are thoroughly checked. Format, date, and issuing authority are strictly verified. Any mismatch will result in the rejection of the reservation claim.

Certificate Correction and Updates

RRB generally does not allow corrections to certificates after Document Verification (DV). Only minor spelling corrections, if any, may be permitted at the RRB's discretion. Fresh or updated certificates issued after the specified cutoff date will not be accepted.

Common Certificate Errors

Candidates frequently make mistakes regarding their certificates. These include:

  • OBC certificate without a "Non-Creamy Layer" mention.

  • EWS certificate issued for an incorrect financial year.

  • Submitting a State format certificate instead of the required Central format.

  • Certificate lacking mention of the issuing authority or being issued by an invalid authority.

  • Name mismatch between the certificate and the application form.

Avoiding Certificate-Related Rejection

To prevent rejection due to certificate issues, candidates should:

  • Download the official certificate format from the notification.

  • Ensure the certificate is issued before the specified cutoff date.

  • Verify that their category is listed in the Central List.

  • Confirm that their name, date of birth, and spelling precisely match all application documents.

  • Carry original certificates along with photocopies to the Document Verification (DV) stage.

Official RRB Reminder

The RRB reminds all reserved category candidates that claiming reservation benefits without valid proof is a risky endeavor. The responsibility for ensuring valid documentation lies entirely with the candidate. The decision made by the RRB at the Document Verification (DV) stage is final and binding.

Vertical Reservation

CEN No. 09/2025 provides for vertical reservation for Scheduled Caste (SC), Scheduled Tribe (ST), Other Backward Class (Non-Creamy Layer) (OBC-NCL), and Economically Weaker Sections (EWS). Candidates from any community can be considered for Unreserved (UR) vacancies if they meet UR eligibility criteria. Reserved vacancies are filled exclusively by candidates belonging to the respective community/category recognized by the Government of India. Necessary certificates must be furnished in original during Document Verification (DV). OBC candidates in the "Creamy Layer" are not entitled to OBC reservation.

Horizontal Reservation

CEN No. 09/2025 also includes horizontal reservation for Ex-Servicemen (ExSM), Course Completed Act Apprentice (CCAA) trained in Railway Establishments, and Persons with Benchmark Disabilities (PwBD). Vacancies for these categories are included within the total number of vacancies. ExSM and PwBD candidates can apply against regular vacancies and receive applicable age relaxation and fee exemption..

Consequences of Unfair Practices

Any candidate found engaging in unfair practices during any stage of the recruitment process will face severe consequences. These include lifetime debarment from all RRB and RRC examinations, debarment from appointment in the Railways, and liability for appropriate legal action.

Important Miscellaneous Points

Candidates are advised to regularly check the official RRB/RRC websites for any amendments or notices. Biometric details will be recorded at every stage of the recruitment process. RRBs/RRCs reserve the right to conduct additional authentication procedures and modify the process. The decision of RRBs/RRCs on all matters is final and binding.
