IELTS General Writing Task 1 Semi Formal Letter

IELTS General Writing Task 1 Semi Formal Letter: If you’re preparing for IELTS General Training Writing Task 1, it’s important to be ready for all three letter types: formal, informal, and semi-formal. Among these, the semi-formal letter often confuses because it is written to someone familiar, but not close enough for informal language. These letters are usually addressed to individuals such as a neighbour, colleague, or former teacher in a respectful, professional manner.

This guide provides a clear explanation of the semi-formal letter format, recommended tone, useful vocabulary, and a complete Band 9 sample. With the right approach, semi-formal letters become easier to plan and write effectively.

What Is a Semi Formal Letter in IELTS?

A semi-formal letter is written to someone you know but not personally close to. This could include:

  • A neighbour

  • A teacher or former teacher

  • A colleague

  • A landlord

  • A classmate you don’t know well

The tone is polite and respectful, but not as stiff as a formal letter. It's more neutral.

Sample Semi Formal Letter for Band 9

Task:

You have recently moved to a new apartment, but the heating system is not working properly. Write a letter to your landlord. In your letter:

  • Describe the problem

  • Say how it is affecting you

  • Explain what you would like the landlord to do

Dear Mr. Patel,

I hope you are doing well. I am writing to inform you about an issue with the heating system in the new apartment at 12C Greenfield Lane, which I recently moved into on the 1st of May.

The main problem is that the central heating does not function consistently. While it turns on occasionally, the temperature remains low, especially during the evenings. As a result, the apartment becomes uncomfortably cold at night, which has already affected my sleep and overall health.

I would appreciate it if you could arrange for a technician to inspect and repair the system at your earliest convenience. If needed, I am available in the afternoons after 3 PM or anytime during the weekend.

Thank you for your attention to this matter. I look forward to hearing from you soon.

Yours sincerely,
John Davis

IELTS General Writing Semi Formal Letter

How do I know if a letter should be semi-formal?

If you are writing to someone you know in a respectful or professional setting (like a neighbour or landlord), use a semi-formal tone.

Can I use contractions in a semi-formal letter?

Yes, but sparingly. Words like “I’m” or “don’t” are acceptable but avoid overusing informal expressions.

What greeting should I use?

Use “Dear Mr./Ms. [Surname]” for semi-formal letters. Avoid first names unless it’s clearly appropriate.

How is a semi-formal letter different from a formal letter?

A semi-formal letter is less rigid and more personal than a formal letter but still polite and professional in tone.

How many paragraphs should I write?

Use at least three paragraphs: introduction, explanation/details, and request/suggestion.
